Clinic policies

Terms and conditions
for aesthetic treatments.

By booking an appointment or receiving treatment at Highfield Aesthetics, you agree to the following terms and policies.

Consultations & medical assessment

All clients must undergo a consultation before treatment. This may include:

  • Medical and lifestyle history assessment
  • Clinical examination
  • Discussion of treatment options
  • Clinical photography for medical records

No treatment will be carried out without appropriate assessment and informed consent.

Consultation fee

  • Injectables consultation — £50. £10 deposit at booking; £40 due at your appointment. The full £50 consultation fee is credited against a subsequent injectable treatment if you proceed.
  • Specialist consultation — £250. £250 consultation fee. Not redeemable against treatment.
  • Skin analysis consultation — £75. £25 deposit payable at booking and deducted from the £75 total; £50 remains to pay. The £75 fee is credited against a subsequent treatment if you proceed, not skincare products; otherwise retained.
  • Laser hair removal consultation — £10. £10 total, paid at booking; includes your consultation and patch test. The full £10 is credited against subsequent laser hair removal treatment if you proceed.
  • Wellness consultation — £50. £10 deposit at booking; £40 due at your appointment. The full £50 consultation fee is credited against a subsequent wellness treatment if you proceed.
  • Blood test consultation — £50. £10 deposit at booking; £40 due at your appointment. The full £50 consultation fee is credited against subsequent blood testing if you proceed. Your doctor selects appropriate tests at consultation.

For injectables, wellness and blood-test consultations, the total fee is £50: a £10 deposit secures the booking and the remaining £40 is payable at the appointment. The £10 deposit is part of the £50 fee, not an extra charge. Skin analysis is £75 total, with £25 due at booking and £50 at the appointment. Laser hair removal consultation and patch testing costs £10 total, due at booking. The specialist consultation is £250.

Consultation booking payments, deposits and fees are non-refundable. Where stated above, the full consultation fee is credited against a subsequent relevant treatment or blood test if you proceed; the team applies the credit at that later checkout. For consultations with £10 due at booking, cancellation within 24 hours or a missed appointment forfeits only that £10 payment, with no additional £50 charge. Cancellation terms for other consultation types are confirmed before booking.

Clinical photography

Clinical photographs may be taken for treatment planning, monitoring results, and medical, legal or insurance documentation. Images are stored securely and will never be used for marketing without separate written consent.

Medical disclosure

Clients must provide accurate and complete information about their medical history, medications, allergies and previous treatments. Failure to disclose relevant information may increase the risk of complication and may result in treatment being refused.

Deposits, cancellations & no-show policy

A booking payment or deposit is required to secure an appointment. Consultation amounts are shown above.

Cancellations and rescheduling

  • More than 24 hours’ notice: free to reschedule.
  • Within 24 hours, a £50 late cancellation or rescheduling fee applies to treatment bookings. For consultations with £10 due at booking, the separate rule above applies to late cancellation or a missed appointment.

Late arrivals

  • Up to 10 minutes late: the appointment may proceed.
  • More than 10 minutes late: the appointment will be treated as a no-show.

No-shows

  • For a booked treatment, the full treatment cost will be charged.
  • If only a treatment deposit was paid, the remaining balance must be paid within seven days.
  • Future bookings will require full payment in advance.

Exceptional circumstances

In rare cases, such as a medical emergency or documented travel disruption, an exception may be considered at the discretion of clinic management and valid proof may be required.

Package & course treatments

  • Packages are offered at a discounted rate.
  • Packages are non-refundable once started.
  • Ten-session laser hair removal packages are valid for 18 months; other packages are valid for 12 months unless their booking terms state otherwise.
  • If a package is discontinued, used sessions will be recalculated at their full individual prices.
  • Any remaining balance will be held as non-transferable, non-refundable clinic credit valid for 12 months.

Refund policy & complaints procedure

Refunds

  • Treatments are non-refundable once performed where they have been delivered appropriately and in line with clinical standards.
  • Dissatisfaction with an aesthetic outcome alone does not qualify for a refund.
  • If a client wishes to reverse or adjust a treatment, including filler dissolution, this will be treated as a new chargeable procedure.

Complications

In the rare event of a clinically verified complication, the clinic will assess the situation fully and offer appropriate corrective treatment where suitable. Partial or full refunds may be considered at the clinic’s discretion.

Complaints

All complaints must be submitted in writing to [email protected]. You may also contact the clinic on +44 121 517 2574. Complaints will be reviewed formally, a response and resolution plan will be provided, and clients will be involved in the resolution process where appropriate.

Results & treatment expectations

Aesthetic treatments are subjective and results vary between individuals. No treatment can guarantee a specific outcome. Individual anatomy, healing response and lifestyle factors may all influence results.

By proceeding, you accept that results may not exactly match expectations and that additional treatments may be required to achieve the desired outcome.

Aftercare & complication responsibility

Clients are given clear written aftercare instructions following treatment. By undergoing treatment, you agree to follow all aftercare guidance, contact the clinic promptly if concerns arise and attend follow-up appointments where advised.

Failure to follow aftercare instructions may compromise results, increase the risk of complications and limit the clinic’s ability to provide corrective treatment. The clinic cannot accept responsibility for complications arising from failure to follow aftercare advice.

Suitability, safety & right to refuse treatment

We reserve the right to refuse or delay treatment if it is not clinically appropriate, there are safety concerns, expectations are unrealistic or required medical information has not been provided. Treatment will never be carried out if it is deemed unsafe.

Eligibility for treatment

We do not treat individuals under the age of 18 or clients who are pregnant or breastfeeding. Suitability for all other clients is assessed individually.

Behaviour & clinic conduct

We operate a professional environment and reserve the right to refuse treatment in cases of abusive or inappropriate behaviour, repeated missed appointments or non-compliance with clinic policies.

Data protection & confidentiality

We handle personal information in line with applicable UK data-protection and medical confidentiality requirements. Enquiry details may be processed by service providers acting for the clinic, as explained in our privacy notice.

Educational calculators & interactive tools

The skin timeline, BMI calculator, body-area guide and treatment suggestions are educational screening tools. They do not diagnose a condition, measure tissue biology, prescribe treatment or replace an in-person medical assessment.

BMI is a practical population measure and has recognised limitations. Results must be interpreted in context, including body composition, waist-to-height ratio, age, pregnancy, medical history and the lower action thresholds NICE recommends for some ethnic backgrounds.

Values entered into these interactive tools are calculated in your browser and are not submitted to the clinic. If you request a callback, the details entered into the separate callback form are sent to the clinic’s HighLevel CRM.

Payments & chargeback protection

By booking an appointment or undergoing treatment, you confirm acceptance of all clinic policies and agree to the payment obligations set out in these terms.

Any attempt to initiate a payment dispute or chargeback without first following our complaints procedure will be treated as a breach of these terms, and the clinic reserves the right to pursue recovery of funds.

Liability

All treatments are performed to a high medical standard. However, no outcome can be guaranteed and clients accept the inherent risks associated with aesthetic procedures.

Policy updates

Highfield Aesthetics reserves the right to update these policies at any time. The latest version will always be available on this website.
